Purging Learner Records
Year-End Procedure

Step 1: Update your Runtime System.
Check the software update page on the Mastery Website to be certain that your Mastery Runtime System is up-to-date. If you need an update click on this download page link to go to the download page.

Step 2: Make A Back-Up Copy Of Your Database Files.
Use Windows Explorer to copy the learner data files to diskette or zip cartridge for backup. Your learner records are contained in eight files in the directory you specified in the Learner Data folder of Training Manager (example: c:\video\record).

If you are not using Training Requirements, you will have only six files in the learner data directory. The files named “reg0.dbf” and “reg0.mdx” will not be present.

Step 3: Create An On-Line Archive Copy
Use Windows Explorer to create a folder to contain the archive copies of the database. (example: c:\video\record\1999).

Go into Training Manager, Learner Data folder, choose Learner Data Utilities.


Now choose Backup learner database files.

This will bring up the browse box to choose the destination of your backup files.

Select the drive and path you have created for your archived data.  When you click "OK" all learner database files will be copied to the archive directory.

If you maintain an archive folder for each year on your system, you can easily create reports against the archived years by opening them with STARS.


Step 4: Purge Last Year's History and Lesson Data From The New Year's Database.

Go into Training Manager, Learner Data folder.

Choose Learner Data Utilities.

Then click on Year-End database purge.

This will prompt you to enter a cut-off date for the records you wish to purge.

Enter the date for the last day of the year just ended.

Step 5: Printing Reports From Archived Years.
If you need to work with old records that have been archived, simply select the archive directory in the STARS "Welcome" folder.
